NationBuilder integration help

A step-by-step guide to connecting your nation and issuing CRA-compliant donation receipts, plus answers to common questions.

Getting started

  1. Create a free account

    Sign up (or sign in) on freecharityreceipts.ca, then open the NationBuilder integration page.

  2. Connect your nation

    Enter your nation's slug (the part before .nationbuilder.com) and click Connect. You'll be taken to NationBuilder to approve secure OAuth access — sign in there with a control panel account that can authorize apps and edit donations. We never see your password. A read-only account can import, but every receipt note write-back will fail and those receipts get flagged.

  3. Complete setup

    A connection manager completes the Receipt configuration tab: charity details (legal name, CRA registration number, address), your logo and signature, and the contact email donors can reply to. This tab is also where you say how each donation page is receipted, and membership dues get the same three choices: receipt in full, receipt the eligible amount, or don't receipt. Optional background sync can be enabled here too, on a daily, weekly, or monthly schedule.

  4. Import donations and issue receipts

    On the Import tab, pick a date range and load your succeeded donations. Review the preview — eligibility checks run on every row — select the donations you want, and issue. Receipts are generated as PDFs and emailed to donors.

  5. Manage issued receipts

    The Receipted tab lists every receipt with search, PDF download, resend, correction, void, and re-issue. Receipt details are written back to the donation in NationBuilder, and background sync flags donations that later change, are cancelled, or are deleted.

Help & common questions

Setting up

How do I change the logo or signature on my receipts?

In the Receipt configuration tab, under Your charity, open the Receipt profile card and upload a new logo or signature (managers only). The change applies to receipts issued afterward — receipts already issued keep the logo and signature they were issued with.

Why is the custom-fields section empty?

NationBuilder only offers custom signup fields on Enterprise plans. If your nation is on another plan, this section stays empty — receipt notes and the activity log still record every receipt, so nothing is lost.

Importing & issuing receipts

Why don't some donations show up in the import preview?

The preview shows only succeeded donations whose payment date falls inside your selected range (using your nation's timezone). Donations that already have a receipt are skipped automatically, and failed, pending, or refunded payments are never included. The preview also holds or skips a donation when its page or membership hasn't been classified yet, when the page is set to Don't receipt, when the advantage is more than 80% of the gift, when the payment type looks in-kind, when it's a corporate contribution, when the donor has no address in NationBuilder, or when it falls before your receipting start date. Every reason is listed with a count above the table.

Why was a donation skipped for “advantage over 80%”?

When what the donor received back is worth more than 80% of what they gave, the CRA does not treat it as a gift, so no receipt can be issued. Lower the advantage amount on that page if it was entered too high.

Can I receipt donated goods or auction items?

Not through the import. Donated goods, stock, and auction items need a fair market value you set yourself, so any donation whose payment type looks in-kind is skipped and listed in the preview. Issue those with the Create Receipt flow.

Can I issue a receipt for just one donation?

Yes. Set the date range around that donation, then use the checkboxes to keep only the rows you want — the checkbox in the table header checks or clears the whole page at once. The issue button always shows exactly how many receipts you're about to create.

How do I find a receipt I already issued?

Open the Receipted tab and use the search box — it matches donor name, receipt number, email, or amount. From each result you can download the PDF, copy the receipt's shareable link, resend the email, or correct or void an active receipt. Re-issue becomes available after a void.

What will donors see as the sender?

The sender name is your charity's name followed by “via Free Charity Receipts”, and replies go to your organization contact email, so donors reply to you and not to us.

Who is responsible for keeping copies of receipts?

Your charity is — the CRA requires you to retain a copy of every official receipt. To make that easy, donor receipt emails are copied (BCC) to your organization email unless you turn that off, and you can download the full PDF archive after each import. See the terms for details.

Credits & billing

How do credits work for NationBuilder receipts?

A standard cash receipt costs 1 credit; a gift-with-advantage receipt, a correction, or a re-issue costs 2. Receipts are funded by your organization's shared credits (personal balances don't apply), and an annual integration pass covers unlimited receipts of every type. Your balance and purchase options are in the Credits tab.

Your data & sync

What does this app change in my NationBuilder data?

Write-backs touch three things and nothing else: a receipt line appended to the donation's note, the two receipt custom fields you map (if any), and, optionally, a logged contact activity on the donor's profile. We never change a donation's amount, date, or donor, and we never touch any other record in your nation.

Who can open the receipt link we write into NationBuilder?

It's a private link, not a login. The URL contains a long random token, and anyone who has it can view that one receipt. It goes into the donation note and, if you map them, the receipt custom fields, so treat it like the receipt itself.

Can I see receipts my colleagues issued?

Yes. Everyone connected to the same nation sees the same Receipted list and the same import runs, including receipts that failed or are still pending. There are no per-user views.

What is a “needs attention” alert on a receipt?

We re-check every receipted donation against NationBuilder after each import and on your auto-sync schedule, then flag a receipt when the amount changed, the donor changed, the donation was cancelled or deleted, or NationBuilder refused our write-back because the connected account can't edit donations. Correct or void the receipt, or dismiss the alert if the change was intentional and the receipt is still right. If the donation was deleted in NationBuilder we can't rebuild a replacement from live data, so correction and re-issue are unavailable there — void instead. Re-issue is available only after a void.

When does auto-sync run?

Overnight, around 3–4 a.m. Eastern, on the cadence you choose: daily, weekly, or monthly. It scans for donations ready to receipt and re-checks receipts you've already issued, then emails you a digest only when there's something to see. It never imports or issues receipts on its own, and it requires a manager to have granted background access on this page.

What happens if I disconnect NationBuilder?

Disconnecting deletes the NationBuilder credential we hold for your account, so we stop reading your nation with it. Other people connected to the same nation keep their own access, and auto-sync pauses only if it was running on yours. NationBuilder offers no app-revocation endpoint, so also remove the app in your NationBuilder settings if you want the authorization gone on their side. Receipts you already issued remain valid and available, along with the minimal audit record described in our privacy policy; you can request full deletion of stored integration data at any time.
