Correct a receipt
Updated
If a receipt has a mistake, or the donor lost it, you issue a replacement. It is a new receipt that says it replaces the original. FreeCharityReceipts doesn't change or cancel the original for you.
Before you start
- Sign in. Corrections need an account.
- A correction costs 2 credits. An active pass covers it. See Credits and passes. There is no free daily correction.
- Have the original receipt number. It is printed on the original PDF.
Steps
- Open Correct from the menu.
- Under Correction Details, enter the Original Receipt Number. Use letters, numbers, spaces, dashes and underscores, up to 50 characters. You can enter a number from any source, such as a handwritten receipt.
- Enter the Reason for Correction: at least 10 and at most 100 characters, for example "Incorrect donation amount".
- Fill in the rest of the form with the correct details. It is the same form as Create a receipt, with the same length limits and counters, and all three gift types are available. If you choose a gift in kind valued by Professional Appraisal, the appraiser's name and address are required. Your saved charity details are filled in if you have signed in before. You must add the donor and gift information again.
- Click Preview Correction Receipt. The button stays off until the required fields are done, and the line under it names what is missing. The preview costs nothing.
- Check the preview, then click Generate Receipt.
The PDF downloads, and a copy goes to your Organization Email. You can also email the donor. See Email receipts to donors.
What the new receipt shows
- A new receipt number. It is not the original one.
- (CORRECTED) next to that number.
- The line Cancels and replaces receipt No. followed by the original number. On French or bilingual receipts it also says Annule et remplace le reçu nᵒ.
- Your reason, on its own line under Reason: (Raison : on a French receipt).
What a correction doesn't do
- It doesn't look up the original. The site checks only that the number is in a valid format.
- It doesn't remove or change the original receipt, and it doesn't tell the donor. Unless you email the donor from the form, give them the new receipt yourself.
- It doesn't save anything for later. Keep your own copy of both receipts.
The CRA says a replacement receipt must carry all the required information, the number of the original and a statement that it replaces it. It also says to keep your copy of the original and mark it "cancelled". Read Correcting or replacing official donation receipts (opens in a new tab).
